Membership Administrative Assistant

ASLA is recruiting for a Membership Administrative Assistant to provide critical support to the ASLA team and helps ASLA programs run smoothly for our valued members. The Assistant will be interacting daily with the ASLA database and technology systems as well as engaging directly with members, volunteers, and other team members.


Responsibilities

  • Supports timely distribution of new member and renewal notices.
  • Provides support in scheduling meetings and conference calls and organizes and distributes agenda materials to committees.
  • Collects weekly & monthly content from committees for specific membership newsletters into HubSpot for distribution.
  • Provides timely and high-quality service to members, potential members, and other customers via email and phone. 
  • Educates members/prospects on the benefits and value of being an ASLA member. 
  • Supports new members and encourages engagement with the association’s products and community towards a goal of increased retention.
  • Ensures proper record of all member information in the database and work to obtain accurate, updated information as needed.
  • Understands AMS functionality to assist with other ASLA programs as needed.  
  • Reviews membership transactions to ensure members are successful in joining and renewing, including the student, and retirement membership processes.  
  • Uploads monthly membership dues invoices for printing and mailing
  • Collects New Members and Member anniversaries for acknowledgement in member newsletter.
  • Sends monthly Corporate Membership Reports to the Sales Team.
  • Receives corporate credit card applications for processing and uploading.
  • Maintains Volunteer leader information and ensure annual updates. 
  • Maintains up to date chapter leader information. 
  • Acts as ASLA Basecamp administrator.
  • Maintains confidential and sensitive information. 
  • Provides additional support for ASLA membership teams and administrative tasks as needed.
  • Upholds the values & culture of ASLA.
  • Performs other duties as assigned.     

Qualifications

  • BA/BS Degree preferred. 
  • Administrative and database experience, preferably within a nonprofit or association. 
  • Strong skills using Excel to manage data and information in spreadsheets. 
  • Excellent verbal and written communication skills with attention to detail. 
  • Comfortable with databases, data entry, and reporting. 
  • Ability to prioritize and manage a workflow that involves interruptions and multiple projects at the same time. 
  • Strong technology skills including Office 365 Suite, PowerPoint, Survey Monkey, Google Docs. 
  • Strong customer service orientation. 
  • Professional demeanor and ability to work in a team setting. 
  • Experience with association management systems preferred.
