Manager, Conference & Special Programs

ASLA is recruiting for a Manager, Conference & Special Programs to support the Conference & Special Programs Department and provide logistical support for all ASLA onsite and offsite meetings/events, including the ASLA Conference on Landscape Architecture, Governance meetings, Council of Fellows, Spring meeting, Advocacy, PR Summit, LAAB meeting, Diversity meeting, Jury meetings, virtual, and onsite meetings, and events at the Center, as well as new program meetings, Host Chapter Kick-off, etc.


Responsibilities


  • In collaboration with the director, plans and implements the varying components of the annual conference including, but not limited to, room block management, staging guide development, supplier RFP's and vendor selection, signage and supply orders, shipping, transportation, and planning special events including the National Honorary and Members Reception, Fellows and President's Dinners, etc.
  • In collaboration with the education manager, manages the logistical arrangements for annual conference’s field sessions, including transportation, off-site venue selection, supplier contracts, and food & beverage (F&B).
  • Organizes the logistics for all in-house meetings and events to include catering, audio/visual, and room set up; and works with the office team to ensure that the in-house conference center is equipped with the appropriate supplies to support all in-house meetings.
  • Solicits proposals from hotels, and event venues, as well as supplier proposals for audio/visual, staffing, transportation, and F&B.
  • Develops meeting specifications and provides onsite set-up and support for the conference and selected meetings/events.
  • Works with representatives from external organizations that rent space at the Center. Manages the logistics for all external groups utilizing ASLA meeting and event spaces including inventory of dishware, silverware, and glassware for setups.
  • Serves as the project manager for virtual events. Coordinates the logistics with internal department leaders for their virtual events. Creates, designs, and conjunction with the website administrators, assists with the content for the virtual platform's website.
  • Reconciles all meeting and event invoices and helps track meeting expenses. Supports the director in the administration of ASLA meetings and other duties as assigned.

Qualifications

  • Education: BA degree; or equivalent training and experience; Certification in meeting planning preferred.
  • Experience: Minimum five (5) years’ experience in association/nonprofit meeting planning required. Exposition planning, customer service, hospitality experience, and/or marketing experience, a plus.
  • Travel: Willing to travel at least twice a year for onsite inspection (early spring - 2 to 3 days) and annual conference (up to 9 days).
  • Skills: Proficiency in verbal, written, and interpersonal communication. Excellent organizational skills, good judgment, and attention to detail. Ability to balance heavy workload with short- and long-term project deadlines, address changing priorities, and work well under pressure. Microsoft Office computer applications; experience with Adobe, Macromedia Dreamweaver, and basic html programming helpful.
